Submission Guide for Editing
Papers must be submitted to me by November 19, 2024. I am aware that this date is a suggested deadline by FNU; however, in order to avoid submissions for editing close to the return-to-student deadline and to accommodate detailed editing of papers, I require papers be submitted to me no later than November 19th.
Documents must be submitted in Microsoft Word (.doc or .docx) with the following settings:
Page size: 8.5 x 11 inches
Margins: 1-inch sides, top, and bottom of pages
Font and size: Times New Roman or another accepted font by FNU, 12 pt.
Line spacing: Double
Documents are to be submitted with all sections including Title Page, Abstract, and References.
Tables & Figures
All tables and figures must be submitted as part of your document and not as PDFs, JPEGs, or other types of attachments. Documents submitted with tables and figures as attachments will be returned.
All tables and figures must be submitted per FNU style guidelines. Use the tables in the Squire Instruction Guide/Template. Do not build new tables and do not alter the tables in the style guide beyond inserting appropriate headings for your project and inserting your data.
There will be an additional $75 charged for for each of the following:
Formatting or reformatting a table including splitting table on a second page
Building a new table if manipulation of the pre-formatted table results in an improperly formatted table
The editor is required to format the 2nd page of a table
Converting data in a table to accepted format per FNU guideline/style sheet (e.g., rounding up or down to one digit)
See the Full List of Rates and Fees
References*
There will be an additional $75 charged for reference lists that require significant revisions. For example, but not limited to:
Incorrect author (e.g., institution given as author if author is an individual or individuals)
Reference list is not in alphabetical order
References presented in format other than APA (e.g., MLA, Chicago, AMA, etc.)
References in which the listed author is incomplete (Bureau of Labor Statistics vs. U.S. Bureau of Labor Statistics)
*Be aware that if you opt to use a reference creator/editor that formats your references, I may not be able revise your references as needed. While these tools are meant to make creating reference lists easier, they are often not accurate. You will be responsible for ensuring your references are in proper APA format.
TIPS
Here are a few tips that will decrease the amount of editing required, the length of editing time, your expense, and also help to decrease turnaround time.
Prior to submitting your manuscript for editing:
Read and follow the “Overall Instructions for Squire Paper” and the Style Guide provided to you by FNU noting proper format for numbers, abbreviations, table format, etc. Additional cost to students and extended turnaround time required to edit papers are often due to not following the directions provided in these guides.
Use person-first language and identity-first language appropriately throughout your paper. See Section 5.4, pp. 136-137 of APA Manual 7th edition.
Make sure there is only one space between a period and the beginning of the next sentence.
Each table in your paper should not be longer than one page unless it is absolutely necessary. If more than one page is necessary for a table, refer to section 7.18, p. 206 of the APA Manual 7th edition for proper format of the second page of the table.
Double check that all in-text citations are in your reference list and all references on your reference list are cited within your paper.
o Tip:
Print out the manuscript and separate the reference list from the paper.
Read your paper and every time there is a citation, find the corresponding reference on your reference list and put a check mark next to that reference. If there is a citation in the paper but it is not on your reference list, that source needs to be added to the reference list.
When you’ve finished reading the paper, look at the reference list. There should be a check mark next to every author on your reference list.
References without check marks should be removed because there are not corresponding citations within the paper.
Keep your manuscript to 2600 words or less. I may eliminate some words to better convey meaning. In some cases, words will be added, but the total word count will not exceed 2600 words if I received the document with 2600 words or less.
I am not obligated to reduce the word count in your paper if it is submitted with more than 2600 words.
Titles, including section titles in the paper and in the abstract, contribute to the word count and must be included when placing the word count on the first page of the document.
Make sure the links in your reference list are live and not broken, and that each link leads directly to the corresponding cited article or source (not the journal but the actual article within the journal).
You must use primary sources as references.
Double check that the reference list is in proper APA format and alphabetized.
Ensure your manuscript complies with the most updated SQUIRE 2.0 guidelines and the FNU Style Guide.
Please follow the instructions in the Style Guide for proper use of scientific/statistical notation with attention to spacing (e.g., N = 37 not N=37), correct use of “n” vs “N”, and use of italics in statistical equations. Fractions or ratios (e.g., 21/37) are not used in APA style.
Note that if you write N=37, Microsoft Word counts this as one word because there are no spaces between the elements. During editing this would be corrected to N = 37 changing the word count from one word to three words. This is significant because incorrect spacing, when corrected, will result in a notable increase in word count in the edited paper. Should this cause your paper to go over 2600 words, excess words will not be deleted. Please write equations correctly for an accurate word count.
The rate for manuscript editing for FNU students is $75 per hour for manuscripts up to 2600 words (The first to last word of the body of the manuscript). This word count excludes the title page, abstract, tables, figures, and references.
Abstracts exceeding 260 words incur a fee of $75.
Your manuscript must be submitted to me by the “date to editor” deadline of November 19th. While this is a suggested date by FNU, it is a requirement for my editing services this term.
Papers submitted after November 19th incur an additional $75 fee if I am not notified of late submission before November 19th; however, I retain the right to decline manuscript submission after the November 19th deadline. In such cases, your retainer fee will be returned.
Manuscripts are edited and returned to students in the order they are received.
The earlier a manuscript is submitted to me, the earlier it will be returned, allowing the maximum amount of time to revise your paper prior to final submission to faculty.
Editing time can be as short as 3 hours for a well-written manuscript with minor editing requirements in the body of the paper, reference list, tables and figures; however, on average, editing times vary between 4-5 hours for the body of the paper, followed by editing references, tables, figures, if necessary, and of course, editing the abstract. In most cases, the turnaround time for a paper is 3-5 days. However, the requirement for returning papers to students is November 27th.
Please remember that papers are edited based on the order in which they are received and on the number of papers submitted ahead of your paper. For example, a paper submitted to me on November 19th will not be edited ahead of a paper submitted on November 17th.
Exception: Papers submitted by students who have previously paid a $50 retainer fee are edited ahead of papers from students who wait until the final week to seek out an editor.
I recommend budgeting for an editing fee of $250-$325. An additional $75 should be added to your budget should you decide to submit your paper for editing after the November 19th deadline without informing me ahead of time. Also, plan accordingly if your abstract is more than 260 words or the body of your manuscript is more than 2600 words. See the full list of rates and fees here.
I have edited SQUIRE papers and charged between $135 - $525 including late fees, charges for exceeding the word limit, etc. The best way to decrease the fee for editing is to submit a well-written paper following all guidelines. The final amount charged is a base rate of $75/hr and is determined by length of time it takes to edit the entire a paper: a direct reflection of following APA format, the FNU template, following the rules of grammar and writing, correct scientific notation, proper citation and proper reference list format, and of course on-time submission. Most students receive a final invoice between $250 - $375.
Editing is a professional service. The final invoice is not negotiable. Please do not devalue your work, this service, or other students who pay their fees at full price by requesting a discount.
Full payment is expected within 3 days of receiving the invoice for completed work. After payment, your edited manuscript will be emailed to yours an attachment along with instructions for revisions. A 10% fee will be added to the invoice if payment is not received within 3 days of the original invoice delivery date.
*A $50 fee is required to retain and ensure my availability should you decide to utilize my services to edit your manuscript. This retainer ensures my availability when students begin searching for editors as the end of the class approaches and many students remain in need of editors. This fee places you ahead of those students who request my services later. The $50 retainer fee will be deducted from your final invoice.
I will not accept papers if you requested information about my editing service, did not pay the retainer, but then proceed to submit your paper to me.
If you would like to retain my editing services now, please click on the link below and you will be taken to the site for secure online payment of the editing retainer.
Make sure to review the full schedule of rates and fees here before retaining editing services.
Directions for Submission
After you have revised your paper with faculty recommended changes, attach the document to an email and send it to me. Do not send the paper with faculty comments. You must address, resolve, and delete all comments in the paper prior to submission for editing.
Once the paper has been edited, an invoice will be sent to you for payment on a secure site. Upon receiving your payment, you will receive an email with directions for revisions. You will need to follow those direction to minimize the amount work you will need to do prior to final submission to faculty. A second email will follow with your edited paper attached.
